Calendar Management: Efficiently manage the CEO's schedule, including scheduling appointments, meetings, and events. Anticipate scheduling conflicts, prioritize activities, and ensure the CEO's time is optimized.
Meeting Coordination: Coordinate and schedule meetings, including preparing agendas, gathering and distributing meeting materials, and arranging logistics. Take minutes, track action items, and follow up on deliverables.
Communication: Assist with managing the CEO's emails, phone calls, and correspondence. Prioritize incoming communications, draft responses, and ensure timely and accurate dissemination of information.
Travel Arrangements: Coordinate domestic and international travel for the CEO, including booking flights, accommodations, ground transportation, and visa processing. Prepare detailed itineraries and assist with travel logistics.
Information Management: Maintain and organize confidential files, documents, and records. Manage electronic and physical filing systems, ensuring easy retrieval of information. Prepare reports, presentations, and other documents as required.
Research and Analysis: Conduct research and gather data on various topics as assigned by the CEO. Analyze information, prepare summaries, and present findings to support decision-making and strategic initiatives.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including board members, senior executives, clients, and partners. Serve as a point of contact for inquiries and facilitate effective communication.
Special Projects: Assist the CEO in various special projects and initiatives. Provide support in project planning, coordination, and execution. Conduct research, prepare reports, and contribute to project deliverable.
Office Management: Oversee the smooth operation of the executive office. Coordinate with other departments to ensure adequate office supplies, equipment, and facilities are available. Assist with budget management and expense tracking.
Confidentiality: Handle sensitive and confidential information with the utmost discretion. Maintain a high level of confidentiality and professionalism in all interactions.
