Job Description

OVERVIEW
This role is responsible for managing the day-to-day administrative and human resource functions. This role involves providing administrative support to various departments, assisting with employee-related processes, managing office operations, and ensuring that HR policies and procedures are followed.
Following are the main job Descriptions
1- All the tasks performed through the MCI – (Ministry of Commerce & Industry) platform;
• Issuance, Renewal, and cancellations of CRs and related documentation,
• Renew Chamber of Commerce certificates and related documentation,
• Processing, submitting requests, and issuing permits for promotional offers and sales discounts, as well as generation of payment bills.
• Any other related tasks as per the requirements of the work and as per the new rules & regulations
2- All the tasks performed through MOI – Jawazat (Muqeem) platform;
• Renewing all residence permits for expatriate employees through the (Muqeem) platform.
• Update the passport information of all expatriates through the Muqeem platform after completion the renewal process.
• Issue Re-entry visa and exit visa for all expatriates through the Muqeem platform.
• Extend Expired Re-entry visa for all expatriates through the Muqeem platform.
• Issuing entry permits to Makkah region through the Muqeem platform for workers there and for drivers to allow them to enter and work in Makkah region during the Hajj period.
• Submit the requests to print new editions of residence permits for expatriates upon completion of the renewal.
• Any other related tasks as per the requirements of the work and as per the new rules & regulations.
3- All the tasks performed through HRSD/MOL – (Ministry of Human Resources & Social Development) platform;
• Issuing the Saudization certificates necessary to complete most government tasks such as; Issue and renew Municipality, Civil defenses and CR licenses etc.
• Upload monthly Salary through WPS service, maintain salary items details to meet MOL compliance rate,
• Submit the objections in case the salaries did not fulfil compliance rate and issuing the commitment certificate of wages protection system.
• Review and update the new regulations of the Saudi Labor Law to regulate the work of employees.
• Submit complaints and objections related to the violations imposed on the company by the MOL.
• Adding and removing expatriate & Saudi employees in MOL website in cases of hiring and firing.
• Renewing all labor permit cards for expatriate employees through MOL.
• Submit a request to update the licenses & CR data after completing the renewal process.
• Editing the legal defenses & preparing the Lawsuits based on the labor law regulations to be submitted to the MOL courts in cases of employee complaints against the institution.
• Submit the requests to change the profession of the workers to match his profession with the work that they perform in the company.
• Submit the request to transfer the sponsorship of the workers to & from the company.
• Any other related tasks as per the requirements of the work and as per the new rules & regulations.
4- Tasks performed through GOSI (General Organization for Social Insurance) platform;
• Adding and removing expatriate & Saudi employees in website in cases of hiring and firing.
• Updating the yearly Salaries based on Basic, HRA and other allowances.
• Link work location of employees with CR. No for the same location, this process repeats with staff rotation status.(In case of hiring & firing)
• Issuing the monthly contributions bill.


• Any other related tasks as per the requirements of the work and as per the new rules & regulations.
5- Tasks performed through Medical Insurance provider website;
• Processing yearly agreement through checking and verifying the number of employees are already working in the institution, submitting the finalized list then negotiate and discuss the yearly rate until reaching a satisfactory and appropriate price.
• Adding and removing expatriate & Saudi employees in cases of hiring and firing.
• Processing everything related to employees during the insurance period, adding new-born and follow-up the medical insurance provider to activating the passive insurance service in passports authority to be able to renew residence permits of expatriate employees.
6- Tasks performed through Ministry of Municipalities, Rural affairs and Civil Defense:
• Issue, renew and cancel municipality licenses.
• Issue, renew and cancel Civil Defense licenses.
• Amending details of municipality & Civil Defense licenses concerning stores sizes and signboards sizes.
7- Tasks performed through Saudi Customs & Fasah Platform:
• Issuing conformity certificates from Saudi Customs to attach them with consignment documents.
• Issuing electronic authorizations from Fasah Platform to all customs agents in Batha Customs, Seaport Customs, and Airport Customs.
• Translate invoices and packing lists into the Arabic language for all consignments entering to Saudi Arabia
• Editing CITES documents for Bukhoor shipments, submit them to wildlife authority and Saudi customs in Riyadh city then issue CITES certificates to attach them with consignment documents.
• Processing SFDA documents and submit requests to issue SFDA permits.
8- Task Related to Organizing and managing all employee files in all matters related to employment affairs such as;
• Providing the assistance in conducting interviews for new hiring of Saudi staff.
• Issue and editing employment agreements for all new expatriate & Saudi employees.
• Issue warning letters, termination letters and all types of required letters for all staff.
• Issue and replace ATM Salary cards for expatriate staff through online SABB forms and update validity date of renewed Iqama in SABB platform.
• Follow up and manage all reports are generated from MOI & MOL related the status of expatriate & Saudi employees.
9- Editing, processing and submitting all types of formal letters in Arabic Language to all Ministries, government authorities and related parties with a focus on relevant influencing elements, as well discussing all elements and items of letters with concerned authority if necessary.
10- Coordination with UAE staff for Rental related issues and providing feedbacks to concern after translations of and any other related terms.
11- Organizing and maintaining all the official and government documents in its files.
12- Submit the requests to SABB to install and maintenance POS machines for entire stores as well cancelling and lifting POS machines of the closed stores.
13- Submit the requests to STC to install and cancel landlines for entire and closed store as well SIM cards.
14- Submit the requests to mobily to install and cancel SIM cards for entire and closes.
15- 16- Coordination with UAE staff for salaries related issues,
In addition to the aforementioned tasks, there are other additional tasks that are urgently requested by the DXB office to carry out and implement them.
